Virginia - eNotary


To support the Code of Virginia, the Secretary of the Commonwealth has launched an initiative to enable enotarizations in the Commonwealth of Virginia. In order for an existing Notary to become an eNotary, the notary will have to acquire a digital certificate (digital signature) and register themselves with the Secretary’s office by using the following online process Electronic Enabled Notary Application.

IdenTrust Services, LLC will provide commissioned Virginia Notary Publics with digital certificates that meet the standards for the signature, one of which is to make sure the digital signature matches exactly to the name on the current notary commission certificate. "IdenTrust currently supports only middle initial (not full middle name). If your notary commission lists your full middle name, you will need to enter your first name (space) middle name in the "first name" field, leaving the "middle initial" box blank. If your notary commission lists your middle initial, please enter that in the "middle initial" box.

IdenTrust will provide Notary Publics with X.509 Digital Certifications. The digital certificates will be managed and controlled by IdenTrust Services as part of the Access Certificates for Electronic Services (ACES) program. IdenTrust Services, LLC will supply Certificate Authority (CA) service to citizens located within or desiring to interface with the department in a Public Key Infrastructure (PKI). The IdenTrust digital certificate meets the requirements outlined in the Electronically-enabled Notary Public Instructions document, which can be found on the Virginia.gov website, under the Secretary of the Commonwealth.

  Your IdenTrust digital certificate/signature is Cross Certified by the Federal Bridge
  Your IdenTrust digital certificate/signature is based on PKI infrastructure
  Your IdenTrust digital certificate/signature can be verified using a chain of trust that ends in a Trusted Root Certificate
  The Trusted Root Certificate (mentioned above) is ITU-T X.509 compliant
  Certificate Authority = IdenTrust
  Website = https://www.identrust.com
  Validity period of certificate = Date of retrieval + 2 years (example: 10/31/12 - 10/31/14)

You are visiting this page because you will need a digital certificate/signature to use with the Virginia E-Notary program. A digital certificate is a form of online identification that can be used to digitally sign electronic documents. State Notary law requires that your digital certificate/signature matches exactly to the name on your current notary commission. If your commission is in a maiden name or a variation of your first or middle name, Bill vs. William for example, you must apply for your certificate using the exact name that is listed with the Notary Commission. "IdenTrust currently supports only middle initial (not full middle name). IdenTrust will issue your certificate with the name you use during the application process. If that name does not match exactly to the name on your current notary commission, we will issue you a non-refundable digital certificate that CANNOT be used for electronic notarization.

It is your responsibility to ensure that your digital certificate (digital signature) application is completed using the exact name listed on your notary commission.

Please note: ONLY THE SUBSCRIBER OF THE CERTIFICATE SHOULD HAVE EXCLUSIVE USE - THE DIGITAL CERTIFICATE IS YOUR FORM OF IDENTIFICATION, SIMILAR TO YOUR PASSPORT OR DRIVERS LICENSE. Under the GSA Certificate Policy, it is our responsibility as an Authorized Certificate Authority to revoke the certificate in a case of loss or disclosure of the private key (Password) to anyone other than the subscriber.

How to Trust IdenTrust ACES Root Certificate in Adobe Reader

Adobe Reader requires one-time trusting of the IdenTrust ACES Root certificate. This can be accomplished by installing the attached .fdf on the computer that is being used.

In order to "trust" the IdenTrust ACES Root Certificate, you will need to follow these instructions:
  1 Double click on the IdenTrust-ACES-CA.fdf file
  2 Click "Set Contact Trust" to add the Certificate to the List of Trusted Identities
  3 Check the box next to:
a. In Adobe 6 - "Trust Signatures created with this Certificate"
b. In Adobe 7, 8 - "Trust this Certificate for: Signatures and as a Trusted Root"
c. In Adobe 9 - Choose the "Use this certificate as a trusted root" checkbox
  4 Click "OK" or "Import", click "OK" again, then click "Close"
