Digitally Signing an E-mail Message with Outlook 2000, Outlook 98, Outlook Express, Netscape, and Eudora Pro 4.1

With Microsoft Outlook 2000, Outlook 98, Outlook Express, and Eudora Pro 4.1, you can digitally sign your outgoing e-mail messages.

Signing a message does not affect contents of the message or protect the message from being intercepted and read by someone other than the intended recipient. To ensure that only the intended recipient can read the message, you must also encrypt the message. If the recipient of a signed message does not use an S/MIME-enabled e-mail package, that person can still read the message-your digital signature simply shows up as an attachment.

The Signed icon indicates that a message has been signed. When you receive a signed message, the icon appears in the upper right corner of the message.

You can sign individual messages or configure your e-mail security options to automatically sign all of the e-mail messages you send. For information on selecting the certificate to use when signing messages, see Choosing a Default Certificate for Signing and Encrypting Messages.

Choosing a Default Certificate for Signing and Encrypting Messages

Before sending a digitally signed message, you must choose a certificate to use for signing or encrypting messages.


Outlook 2000 - Complete the following steps to choose a default certificate for sending messages in Outlook 2000:

  1. Open Outlook 2000.
  2. Select Tools-->Options. The Options dialog box appears.
  3. Click the Security tab.
  4. In the Secure Email section, Click the Settings button. The Change Security Settings dialog box appears.
  5. Click the Choose button under Signing Certificate to select the certificate to use when signing messages, or Click the Choose button under Encryption Certificate to select the certificate to use when encrypting messages. The Select a Certificate dialog box appears.
  6. Select the certificate to use, then Click OK. The Select a Certificate dialog box closes and the Change Security Settings dialog box becomes active.
Note: If your certificate does not appear in the Select a Certificate dialog box, it is usually due to one of the following problems:
a. You have not downloaded the DST root certificate. (See instructions on downloading the DST root certificate.)
b. The email address inside the certificate does not exactly match the email address Outlook 2000 is configured to access. (See instructions on viewing information about a certificate.)
  7. Check the "Send these certificates with signed messages" check box. The name for the security settings appears in the Security Settings Name field. You can keep the default name or provide a new one by Clicking the Create New button, then entering the new name.
  8. Click OK to close the Change Security Settings dialog box.

All your signed or encrypted e-mail messages will use the certificate you selected during this process.

Outlook 98: Complete the following steps to choose a default certificate for sending messages in Outlook 98:

  1. Open Outlook 98.
  2. Select Tools-->Options. The Options dialog box appears.
  3. Click the Security tab.
  4. Click the Change Settings button. The Change Security Settings dialog box appears.
  5. Click the Choose button under Digital Signature to select the certificate to use when signing messages, or click the Choose button under Encryption to select the certificate to use when encrypting messages. The Select a Certificate dialog box appears.
  6. Select the certificate to use, then click OK. The Select a Certificate dialog box closes and the Change Security Settings dialog box becomes active.
  7. Check the "Send these certificates with signed messages" check box. The name for the security settings appears in the Security Settings Name field. You can keep the default name or provide a new one by clicking the Create New button, then entering the new name.
  8. Click OK to close the Change Security Settings dialog box.

Outlook Express - Complete the following steps to choose a default certificate for sending messages in Outlook Express:

  1. Open Outlook Express.
  2. Select Tool-->Accounts. The Internet Mail dialog box appears.
  3 Click the Mail tab.
  4. Select the e-mail account for which you want to select a certificate.
  5. Click the Properties button. The Mail Properties dialog box appears.
  6. Click the Security tab.
  7. Check the "Use a digital ID when sending secure messages from" check box.
  8. Click the Digital ID button.
  9. Select the certificate you want to use to sign messages for the account, then click OK. Your messages from the designated account will now be signed using the selected certificate.

Netscape Communicator - Complete the following steps to choose a default certificate for sending messages in Netscape Communicator:

  1. Open Netscape Communicator.
  2. Click the Security button on the Navigation Toolbar. The Security Info screen appears.
  3. Click the Messenger hyperlink.
  4. In the Certificate for your Signed and Encrypted Messages drop-down box, select the default certificate to use for sending messages.
  5. Click OK.

All your signed or encrypted e-mail messages will use the certificate you selected during this process.

Eudora Pro 4.1 - Complete the following steps to use WorldSecure Client 3.0 to import a certificate for use when signing and encrypting messages in Eudora Pro 4.1:

  1. Open Eudora Pro.
  2. Select Special--Message Plugins Settings. The Installed Message Plugins dialog box appears.
  3. Select WorldSecure Client, then click the Settings button. The S/MIME Configuration - Current User dialog box appears.
  4. Click the Security Settings button. The Security Settings - Current User dialog box appears.
  5. Click the S/MIME keys tab.
  6. Click the Import button. The Import Private Key File dialog box appears.
  7. Browse to the location in which the certificate to import is saved, then select the certificate and click the Open button. The Import Private Key Passphrase dialog box appears.
  8. Enter the Passphrase for the certificate, then click OK. The Import Root Key dialog box appears.
  9. If you are sure the root key to be imported is authentic, click the Import button. The Set Private Key Passphrase dialog box appears.
  10. In the New Passphrase field, enter a Passphrase for the certificate to be imported. The Passphrase can be up to 64 characters in length and can include spaces, punctuation, and numbers. Make sure you record or memorize your Passphrase. You will need it to perform any private key function, such as signing/encrypting messages or importing/exporting certificates.
  11. Enter the Passphrase again in the Confirm New Passphrase field.
  12. Click OK. If there is a green check mark by the certificate in the Security Settings - Current User dialog box, then the certificate was successfully imported.

Signing an Individual Outgoing Message


Outlook 2000 & Outlook 98 - Complete the following steps to digitally sign an individual e-mail message in Outlook 2000 or Outlook 98:

  1. Open Outlook 2000 or Outlook 98.
  2. Click the New Mail Message button (the far left button on the toolbar) to begin a new message. A new message window appears.
  3. Click the Options button in the toolbar. The Message Options dialog box appears.
  4. Check the "Add digital signature to outgoing message" check box.
  5. Click Close to close the Message Options dialog box. The message is now signed with the certificate you selected in Outlook 2000's security settings. When the addressee receives the message, the Signed icon appears in the upper right corner of the message.


Outlook Express - Complete the following steps to digitally sign an individual e-mail message in Outlook Express:

  1. Open Outlook Express.
  2. Click the New Mail button to begin a new message. A new message window appears.
  3. Click the Sign button in the toolbar.

The Signed icon is displayed on the right side of the address pane, indicating that the message is signed.

Note: The Sign button is a toggle button. Clicking it again removes your digital signature from the message.



Netscape Communicator - Complete the following steps to digitally sign an individual e-mail message in Netscape Communicator:

  1. Open Netscape Messenger.
  2. Click the New Msg button. The Composition window appears.
  3. Click the Message Sending Options tab.
  4. Check the Signed check box to secure your message using your digital certificate.


When the recipient receives the message, the Signed icon appears in the upper right corner of the message.


Eudora Pro 4.1 - Complete the following steps to use WorldSecure Client 3.0 to import a certificate for use when signing and encrypting messages in Eudora Pro 4.1:

  1. Open Eudora Pro.
  2. Select Special--Message Plugins Settings. The Installed Message Plugins dialog box appears.
  3. Select WorldSecure Client, then click the Settings button. The S/MIME Configuration - Current User dialog box appears.
  4. Click the Security Settings button. The Security Settings - Current User dialog box appears.
  5. Click the S/MIME keys tab.
  6. Click the Import button. The Import Private Key File dialog box appears.
  7. Browse to the location in which the certificate to import is saved, then select the certificate and click the Open button. The Import Private Key Passphrase dialog box appears.
  8. Enter the Passphrase for the certificate, then click OK. The Import Root Key dialog box appears.
  9. If you are sure the root key to be imported is authentic, click the Import button. The Set Private Key Passphrase dialog box appears.
  10. In the New Passphrase field, enter a Passphrase for the certificate to be imported. The Passphrase can be up to 64 characters in length and can include spaces, punctuation, and numbers. Make sure you record or memorize your Passphrase. You will need it to perform any private key function, such as signing/encrypting messages or importing/exporting certificates.

Automatically Signing All Outgoing Messages

Outlook 2000 & Outlook 98- Complete the following steps to configure your e-mail preferences to sign all messages in Outlook 2000 or Outlook 98:

  1. Open Outlook 2000 or Outlook 98.
  2. Select Tools-->Options. The Options dialog box appears.
  3. Click the Security tab.
  4. Check the "Add digital signature to outgoing messages" check box, then Click OK. Now all outgoing messages will be signed automatically.


Outlook Express- Complete the following steps to configure your e-mail preferences to sign all messages in Outlook Express:

  1. Open Outlook Express.
  2. Select Tools-->Options. The Options dialog box appears.
  3. Click the Security tab.
  4. Check the "Digitally sign all outgoing messages" check box.
  5. Click OK. Now all outgoing messages will be signed automatically.


Netscape Communicator - Complete the following steps to sign all outgoing messages automatically in Netscape Messenger:

  1. Open Netscape Communicator.
  2. Click the Security button on the Navigation Toolbar. The Security Info screen appears.
  3. Click the Messenger hyperlink.
  4. Check the "Sign mail messages, when it is possible" check box.
  5. Click OK.

Now all outgoing messages will be signed automatically.


Eudora Pro 4.1 - Complete the following steps to use WorldSecure Client 3.0 to sign all outgoing messages automatically with Eudora Pro 4.1:

  1. Open Eudora Pro.
  2. Select Special--Message Security Settings. The Installed Message Plugins dialog box appears.
  3. Select WorldSecure Client, then click the Settings button. The S/MIME Configuration - Current User dialog box appears.
  4. Click the Security Settings button. The Security Settings - Current User dialog box appears.
  5. Click the S/MIME Options tab.
  6. Check the "Digitally sign message and attachments" check box, then click OK. Now all outgoing messages will be signed automatically.
